Managing content shouldn’t feel chaotic. From Trello for content calendars to Airtable for organizing ideas, I’m sharing my top tools to streamline your workflow and keep your best content from getting lost in the Notes app. Plus, get 50% off my upcoming AI Masterclass to learn how to automate it all!
I love finding new ways to manage content because, let’s be real - our minds are buzzing with ideas, but most of them end up buried in our Notes app, never to be seen again.
Here are my top tools to help you not only organise but streamline your content management 🎉
Trello
Ideal for: Content calendars and approvals.
After four years in social media strategy, I haven’t found a simpler tool for managing client content calendars.
Trello’s free version is easy to use and lets you keep all approvals and post discussions in one place.
Each post has its own card where you can comment, attach files, and track progress - making it a lifesaver when managing multiple clients or projects.
Airtable
Ideal for: Quick and organised content collection from various sources.
Okay, why have I not had Airtable FOREVER? This has completely changed the way I manage my content. With the Web Clipper extension, you can instantly grab content from any webpage, article, or social post and store it neatly for future use.
It’s a fantastic way to keep content ideas organised and ready for future projects.
If you want to master this tool, keep an eye out for my AI Masterclass in December - I’ll cover all the tips and tricks to automate content management with Airtable.
Sheets & Zapier
Ideal for: Automating repetitive tasks and syncing data between apps.
The day I synced all my Instagram content to my Google sheets table was a happy day for my inner geek.
Google Sheets is already great for organising data, but pairing it with Zapier takes it to the next level.
Zapier makes Sheets even more powerful by connecting it to all your other apps, handling tedious tasks so you can focus on creating.
Think of Zapier as a connector.
Monday.com
Ideal for: Managing multi-stage content production and team coordination.
For those juggling multiple projects, particularly with multiple people, Monday.com is your go-to.
It visually tracks each content project, deadline, and task, making it easy to keep tabs on everything.
Plus, its automations and notifications ensure you stay on top of due dates without constant inbox checking, letting you focus on content that matters.
Just DO it!
Of course, the best tool is the one that keeps you motivated and inspired.
Find a workflow that fits your style, and start creating without overthinking it.
Content doesn’t have to be perfect; it just needs to be YOU 💪
Each tool has its plus points, but it can also be a bit of a headache when you are first getting used to some of these. So give them a try and please feel free to reach out via email or DM if you have any questions.
Thanks for reading, and as always, I’m here if you want to chat about this more.
